Job Overview:
We are seeking a highly organised and proactive Ecology Administration Assistant to support our growing ecology team. Reporting directly to the Operations Manager, this role is critical in ensuring the smooth day-to-day running of our field operations by coordinating ecologist rotas, liaising with clients, and managing ecology equipment and audit processes. The role would be attractive to someone with an administrative background and is based in our head office in rural Derbyshire.

Key Responsibilities:
- Scheduling and Rota Coordination:
- Assist the Operations Manager in planning and maintaining rotas for ecologists, ensuring efficient allocation of personnel to projects.
- Communicate rota changes and updates to relevant team members in a timely manner.
- Client Liaison:
- Act as a first point of contact for clients regarding scheduling, logistics, and directing general inquiries.
- Maintain positive relationships with clients through clear, professional communication and timely responses.
- Equipment Management and Auditing:
- Monitor inventory of ecological survey equipment and supplies.
- Arrange for the maintenance, calibration, and replacement of equipment as needed.
- Maintain accurate audit records and ensure all equipment is tracked, logged, and compliant with company and legal standards.
- Administrative Support:
- Support documentation and record-keeping for ecology projects and fieldwork.
- Assist day-to-day duties of the Senior Management Team, including collating timesheets, and operational documentation as required.
- Ensure Health & Safety documentation and procedures are up to date and adhered to in equipment handling and field logistics.
- Keeping the in-house project management system accurate and up to date
Key Skills and Attributes:
- Strong organisational and time-management skills.
- Excellent communication skills (written and verbal).
- Ability to work independently and as part of a team.
- Detail-oriented with a proactive approach to problem-solving.
- Comfortable using Microsoft Office (Excel, Outlook, Word) and scheduling software.
- Interest or background in environmental consultancy or ecology is desirable but not essential.
Qualifications and Experience:
- Previous administrative experience in an operations, logistics, or consultancy setting preferred.
- Experience working in or supporting environmental, construction, or field-based teams is an advantage.
- Full UK driving licence (preferred, depending on office location and travel needs).
